Giving and getting tasks
Assign tasks once, with everything they need
Say what, who, by when and how urgent. Once it is accepted, every step is on the task for both of you to see.
-
One task, several people
Give a task to one person or several, and keep others in the loop: they follow it without doing it.
-
Urgent, Medium or Low
Set the priority, a due date and, when it matters, a time. Late work shows in red.
-
Files, links and voice notes
Attach photos, documents and links, or record a voice note when typing takes too long.
-
Accept or decline
A task given to someone waits for them to accept it, or to decline it with a reason.
-
To do to Done
Tasks move from To do to In progress, In review and Done. Every move carries a note, so the history explains itself.
-
Review before done
Turn on review for the work that matters. It comes back to you to approve, or to send back with a note.
-
Ask for more time
The person doing it asks for a new date before the deadline. The giver says yes or no, and the task shows the answer.
-
Delegate or transfer
Pass your part on and keep following it, or transfer a task that went to the wrong person, with a reason.
-
Progress in numbers
Set how far along a task is, so the giver sees it without asking.
-
Sub-tasks
Split a big job into smaller pieces, each with its own person and date.
-
Categories
File tasks under your own categories, such as Accounts, Stock or Clients, and filter by them.
-
Swipe to act
Swipe a task right to accept, complete or edit it, or left to decline, send it back or ask for more time.
Following up
Follow up on tasks without chasing anyone.
Karo tells the right people at the right moment, so you no longer call around to ask whether something is done.
- Alerts in Karo for every new task, update and reminder. Swipe one to mark it seen or unseen, or to delete it.
- Push notifications on Android and iPhone, even when Karo is closed.
- The nudge bell on a task reminds the people doing it, at most once every 30 minutes.
- A WhatsApp nudge opens WhatsApp with the message typed in. You check it and press send: Karo never sends WhatsApp messages by itself.
Reminders, repeating tasks and calendar
Task reminders, repeating tasks and a calendar
Karo keeps time for you, in each person’s own time zone.
-
Reminders your way
Remind the people on a task minutes, hours or days before it is due or after it is late, or again and again: hourly, daily, weekly or monthly.
-
Repeating tasks
Every day, on chosen weekdays, on one or several dates a month, on a weekday such as the first Monday, or every year. Karo creates each one on time.
-
Daily summary
A short summary of what is due and what is late, at the time you choose.
-
Calendar
Your open tasks on the day they are due, overdue ones in red, and finished tasks on the day they were done.
-
Calendar reminders
A title, a day and an optional time: for yourself, for people you can give tasks to, or for a whole organization you run.
-
Your own time zone
Reminders, repeating tasks and summaries follow each person’s time zone, so 9 AM is 9 AM where they are.
New · Place reminders on Android
Remind me when I get there.
Some tasks belong to a place, not a time: pay the bill when you get home, count the stock when you reach the warehouse. In Karo, you save the places you go to and attach one to a task for yourself. When you arrive, Karo reminds you.
- Save places such as Home, Office or Warehouse, each with its own name.
- Choose how near counts as being there for each place: 100, 150, 200 or 500 metres, or your own from 50 metres to 1 km. A new place starts at 100 metres.
- Attach a place to a task, or a repeating task, you give yourself.
- Your location is checked on your phone and never sent to Karo. Only you see your places.
Karo Pin and contacts
Add anyone by their Karo Pin.
Every person in Karo gets a Karo Pin: a short code such as 7KQ4-M9XA, much like a BlackBerry BBM PIN. Share yours or add theirs, and you can give each other tasks without anyone collecting phone numbers or email addresses first.
- Contacts are by request: nothing reaches your list until you accept.
- Send your invite link on WhatsApp or anywhere. It helps people get Karo and connects you in one go.
- Your email address is never shown to other people.
- Remove a contact at any time.
Organizations
Your shop, your office, your family business. One list.
In Karo, anyone can make an organization, and you can be in as many as you need. Your Tasks screen shows All, General and each of your organizations, with its open count.
- Owner, Admin and Member roles. Owners and admins see every task filed under the organization.
- Invite people by Karo Pin or from your connections. They accept before they join.
- Or share the organization’s invite link on WhatsApp: new people join right after they sign up.
- Switch between organizations from a searchable list, or show them as tabs in your order.

Questions
Questions about Karo’s features
Still have a question? Write to us at karotaskdotcom@gmail.com.
Are all Karo features free?
Yes. Karo has no paid plan, so nothing on this page is locked, for you or for the people you give tasks to. Is Karo really free? lists the few limits that apply to everyone.
Can I assign one task to several people?
Yes. Give a task to one person or several, and keep others in the loop: they follow the task without doing it.
What is the difference between delegating and transferring a task?
Delegating passes your part on to someone else: you keep following the task, and it comes back to you to check. Transferring is for a task that went to the wrong person: it moves to the right one, with a reason, and the first person drops out. More about task delegation.
Can I give tasks to myself?
Yes. A task you give yourself works like any other, and in the Android app it can carry a place reminder.
Can a task wait for my approval before it is done?
Yes. Turn on review for the task. When the person finishes, it comes back to you to approve, or to send back with a note.
How many sub-tasks can a task have?
Up to 50, each with its own person and date.
Which devices does Karo work on?
The Karo app for Android needs Android 7.0 or later. On iPhone, add Karo to your Home Screen from Safari; notifications need iOS 16.4 or later. On a computer, use Karo in your browser. Get the app.
