Best Free Task Apps for Small Businesses in India (2026)

Karo, Google Tasks, Microsoft To Do, Todoist, Trello and TaskOPad: what each one gives a small business for free, from their own pages, and where it stops.

Checked on 25 October 2026 against each app’s own pricing and help pages. Plans and prices change, so check them again before you choose.

Karo is our app, so read what we say about it with that in mind. We have tried to be as fair to the others as to ourselves, and to say where Karo is weaker.

What a small business needs from a free task app

A to-do list for one person is easy to find. A small business needs more from a task manager:

  1. Giving work to other people, not only keeping your own list.
  2. Seeing where each task stands without calling anyone.
  3. A price that does not grow with your team. Many free plans stop at a few people, then charge for each person, every month.
  4. Phones first, because your staff are rarely at a desk.
  5. Your team’s language, for staff who read Hindi or Tamil more easily than English.

We looked at six apps: Karo, Google Tasks, Microsoft To Do, Todoist, Trello and TaskOPad, an Indian delegation app. Every fact about another app here comes from its own pricing or help pages. We give no ratings or scores.

1. Karo

Best for: owners who give work to staff, partners and people outside the business, and want to see it done.

In Karo, you give a task to anyone by their Karo Pin, a short code, so nobody collects phone numbers or emails first. They accept it, or decline it with a reason, update its progress, ask for more time before the deadline, and hand it back for your review. Late work shows in red, and a WhatsApp nudge takes one tap: Karo types it, you press send.

  • What is free: everything, for you and every person you give tasks to. No paid plan, no price per person, no ads, no card. An organization can have up to 500 people. Is Karo really free?
  • Languages: the phone app is in English, Hindi, Kannada, Tamil, Telugu and Malayalam. The web app, alerts and emails are in English.
  • Where Karo is weaker: it is not on the Google Play Store or the App Store. On Android you install it from our website, and on iPhone you add it to your Home Screen from Safari. Place reminders ring on Android only. There are no boards or timelines, and no add-ons for Gmail or Google Calendar.

2. Google Tasks

Best for: your own list, inside Gmail and Google Calendar.

Google Tasks is ₹0 on Google Play. Google’s help lists it in Gmail, Calendar, Chat, Drive and Docs, with apps for Android and iPhone, and with due dates and notifications. For your own tasks it is quick and close at hand.

Giving a task to someone else is narrower. Google’s help describes two ways: in a Google Chat space, to a member of that space, and in Google Docs, where a work or school account can assign a task to people in its own organization. We wrote more in a Google Tasks alternative for assigning tasks to staff.

3. Microsoft To Do

Best for: personal and family lists, for people who already use a Microsoft account.

Microsoft’s support pages say To Do is free with a personal Microsoft account. You can share a list, and assign a task to any member of that shared list, including yourself. To give your staff tasks, you share a list with them first.

4. Todoist

Best for: planning your own work, with shared projects for a few people.

Todoist’s free plan is called Beginner. Its pricing page lists 5 personal projects, 5 people per personal project, 5 MB file uploads, 1 week of activity history and task reminders. In a shared project you can assign a task to someone, and Todoist’s help says a task has a single assignee. For a bigger team, see the paid plans on Todoist’s own pricing page.

5. Trello

Best for: teams that think in boards and cards.

Trello’s Free plan is free for up to 10 collaborators per Workspace, with up to 10 boards per Workspace and files up to 10 MB each, and it includes assignees and due dates. Its pricing page lists Standard at US$5 per user a month billed yearly (US$6 billed monthly) and Premium at US$10 (US$12.50 billed monthly).

If your team works on boards, Trello is a strong choice while you fit in the Free plan.

6. TaskOPad

Best for: Indian businesses that want delegation by department and are happy to pay per user.

TaskOPad says it is made in India. Its site describes department-wise delegation, passing tasks down and back up, and turning emails and WhatsApp messages into tasks: two things Karo does not do. There is no free plan. There is a 15-day free trial for up to 20 users, then ₹300 per user a month billed monthly, or ₹200 per user a month billed yearly.

Which one should you pick?

  • Only your own tasks? Google Tasks or Microsoft To Do, whichever account you already use.
  • A board for a small team? Trello, while you fit in its Free plan.
  • Your own projects, shared with a few people? Todoist.
  • Delegation by department, and a budget per user? TaskOPad.
  • Giving work to staff and people outside the business, free for everyone on it? Karo.

Questions

Is there a task app that is completely free for a team?

Karo has no paid plan, so it is free for the whole team, up to 500 people in an organization. The free plans of other apps usually stop at a number of people, projects or boards: check each one’s pricing page.

Which free task app works in Hindi?

The Karo app on Android and iPhone works in Hindi, Kannada, Tamil, Telugu, Malayalam and English, and each person picks their own. Karo’s web app is in English.

Can a WhatsApp group do the job instead?

For talking, yes. For tasks that must be remembered until they are done, a busy chat loses them. See WhatsApp groups vs a task manager.

Where do I get Karo for Android?

From www.karotask.com/get-app. Karo is not on the Play Store yet, so Android asks once whether your browser may install apps. Our privacy policy lists every permission Karo asks for, and why.
